Online Timetable Frequently Asked Questions

UCL Timetabling team answer common questions about your timetable and provide support for known system errors. Information for students and staff can be found here.

This FAQ page is to solve and signpost people to answers for any technical issues with their timetable software. It does not deal with changing modules or module selection which can be resolved by your department or student registry as appropriate.

The UCL timetable portal is back with some brand new features.

  • Your timetable now includes more details on your class groups, your weekend events and it will highlight potential clashes too.
  • You can keep all your events in one place by syncing your UCL timetable with your Google or Office 365 calendar.
  • Your timetable is also available on the UCL Go App, so you can see your up to date timetable* on the go! 

Top tip: When viewing the timetable on your mobile, make sure to pull down the screen to refresh the data.

I cannot sign into my personal timetable

Username / password unknown

If you do not have a UCL username, you are unsure of the password, or it has expired, visit the MyAccount portal, or contact the IT Services desk or call (internal) 25000.

Password not working in any UCL application

Contact the IT Services desk or call (internal) 25000.

Login not working (only in timetable)

If your UCL username and password is working on other systems, e.g. PORTICO or your live@UCL e-mail account, but you cannot sign in to the personal timetable, please email the Timetabling team

Unlike Portico or live@UCL, you only use your username to log in to Single Sign-on systems. You do not add '@live.ucl.ac.uk'.

Shibboleth error

Contact the IT Services desk or call 25000. Inform them you are receiving a Shibboleth error.

Student personal timetable is missing modules or events

Timetable blank - no record, not enrolled

If you log into the online timetable and receive the following message "There were not student module selections to import from Portico", then you need to check that you are enrolled in Portico.

Speak to your department admin office for advice.

Timetable blank - displaying, no events

If you can see the timetable grid, but there are no events visible (ensure that you have not amended the display options at all and can see the whole year), then either you may be enrolled on the incorrect course/modules. Or your department has not created any events for your modules.

Contact your department admin office for advice.

Missing module events - all

If one or more of your modules has no events at all, then either that module has not been timetabled, or you are registered on the incorrect module/module delivery. 

Contact your department admin office for advice.

Missing certain module events

If you think there is an event missing for one of your modules, it may be that you are not part of the group assigned to that event.

Contact your department admin office for advice.

Old module events still showing

Check your data in Portico.

If this was changed at least 2 hours ago, please report the issue via email to Timetabling team.  

Any changes made in Portico may take 2 hours to appear in the timetable.

Student personal timetable has extra modules or events

Incorrect module showing

Check your data in Portico. If this was changed at least 2 hours ago and is still incorrect, please email the Timetabling team.

All module subgroup events showing

If you can see all the subgroups from one of your modules e.g. Tutorials 1, 2, 3, 4…etc, then you need to be assigned to one of these groups. This will then stop all the other groups displaying for you.

Contact your department admin office to have this done.

Unknown events - non-modular

Events unrelated to modular teaching can be attached to a degree programme, or even a whole department.

If you see such an event and are unsure what it is, speak to your department admin office in the first instance.

Student personal timetable has clashes (two events at the same time)

Events may be in different weeks.

If you are displaying the timetable for several weeks, it may look like there are two events at the same time on the same day but they may be scheduled for different weeks. Check the week numbers to see if there really is a clash or view the timetable one week at a time.

Click the 'Current Week' button or click on the 'Change Display' tab to select a week. You can use the arrow buttons beside the Current Week button to move from week to week.

If there is a clash in your timetable, contact your department administrator to change your module selections or make arrangements to work around the clash.

Lecturer missing

Staff not yet assigned. If the event is not in the upcoming week, it is likely that the Lecturer will soon be assigned. Check again closer to the day.

If the event is in the coming week, contact the department that teaches the module to find out who is leading the event.

Room missing

Room not yet assigned or changing. If the event is not in the upcoming week, it is likely that the room will soon be assigned. Check again closer to the day.

If the event is in the coming week, contact the department that teaches the module to find out where the event is taking place.

Old module events still showing

Check your data in Portico.

If events appear related to a module you are no longer registered on, please report via email to the Timetabling team

Any changes made in Portico may take 2 hours to appear in the timetable.

Calendar Subscription issues

Data not displaying in Calendar application

Incorrect or old data displaying

You may need to unsubscribe and regenerate the calendar link. See our webpage about Unsubscribing.

Staff personal timetable has extra modules or events

Shared teaching may not be detailed

For modules with shared teaching, some departments have chosen to name only the module co-ordinator in the timetable, others have listed all the teaching staff in all the events, and others have captured the detail of who is teaching each event. This may cause extra or missing events in your timetable.

If your timetable looks incorrect email the department timetabler.

If you are unsure which department to contact, email the Timetabling team

Staff personal timetable is missing modules or events

Shared teaching may not be detailed

For modules with shared teaching, some departments have chosen to name only the module co-ordinator in the timetable, others have listed all the teaching staff in all the events, and others have captured the detail of who is teaching each event. This may cause extra or missing events in your timetable.

You may not be on the UCL teaching staff list

The list of teaching staff is maintained by Human Resources. Until you have a signed contract with UCL, the timetabler is unable to assign you any teaching in the Online Timetable.

If your timetable looks incorrect email the department timetabler.

If you are unsure which department to contact, email the Timetabling team.

Staff personal timetable has clashes (two events at the same time)
